OFFICE ASSISTANT CONSTRUCTION IN SOUTH AFRICA
A construction company seeks the services of an Office Assistant Job Summary • Office Administration • Tender Documentation Compilation and liaise with Strategy and Growth to ensure that the latest version of all company documentation used is for tender purposes • Maintain Tender Bid Register • Update/maintain list of Approved Sub-Contractors • Update and maintain suppliers database • Maintain List of Responsible staff for Projects • Arrange for Collection of Tender Documents • Control of Petty cash for purchase of tender documents • Ensure that the all employees CV's are updated every 6 months (January and July) and that these are placed on the server • Monitor and record keeping of leave • Maintain and update Information in electronic Library • Paper Filing where applicable • Binding/Copying Documents • Messenger Delivery/Collection Notes • Order Stationary and Check for accuracy of the order when delivered • Monitor the usage of stationery • Arrange for Courier where applicable • Assist with completing and submitting training applications • Follow up on payments to clients • Provide Office support by prepare meeting agendas and supporting material for distribution • Booking of meeting rooms and providing refreshments/catering where applicable Minimum Requirements • In-depth knowledge of the construction industry terms • Understanding of Microsoft Office / Excel/ PowerPoint/ Outlook • Must be able to work under pressure • Be concise and punctual in achieving deadlines, even if this means working after hours • Must be able to work in a team Preferred Qualifications • Matric • Post-secondary education in business, computers, or office management is an asset • Knowledge, skills and abilities • Proficiency in the use of computer programs for: • MS Office (MS Word, Excel, PowerPoint, Outlook etc.) • E-mail - Outlook • Internet • Proficiency in the use of office equipment: • Computer • Voice messaging systems • Fax • Photo copier
